OSS Manager is a multi-tenant SaaS platform designed for managing martial arts academies, offering features such as class control, student management, belt tracking, graduations, events, tournaments, financial management, and a gamification engine. The platform is available in free and paid plans, according to the academy's needs.

Acceptance of Terms

By creating an account or using OSS Manager, the user declares having read, understood, and accepted these Terms and Conditions. If you do not agree, you should not use the service.

Eligibility

There is no minimum age required to use the platform, as long as the user has the ability to fill out forms and make a valid payment when necessary.

Account Creation and Profiles

Using the platform requires creating an account. The available profile types are:

  • Admin: Platform management team with access to all schools and configuration.
  • Master: Academy owner with full access within their school.
  • Teacher: Academy instructors with access to student and attendance management.
  • Student: Students with access to their own profile, schedule, and progress.

Master and Teacher users can register students with data such as name, belt, rank, email, date of birth, phone, weight, address, and image.

Free Trial Period

Each new school automatically receives a 15-day free trial upon registration, with full access to all platform features. The trial is non-renewable — each school is entitled to one trial period only. Upon expiration, a paid subscription plan must be selected to continue using the platform.

Subscription Plan and Payments

OSS Manager offers a single subscription plan with full access to all platform features. The plan price varies by country, determined by the school's geolocation and the country of the payment card used.

  • Country-Based Pricing: To view the price available for your country, visit the home page and select your country using the region selector. The price displayed corresponds to the value applicable to your location.
  • Payment Restriction: Even if the country is manually changed in the home page selector, the subscription will only be processed if the payment card and the device's geolocation match the country required for that region. Attempts with a mismatched card or location will be declined.

Subscription amounts are charged in the local currency of the selected country and processed via Stripe.

The subscription may be taken on a monthly cycle or, where available for the academy's country, on a discounted annual cycle. On the annual cycle, the full amount is charged once at the start of each twelve-month period. The academy may change its billing cycle at any time from the dashboard: the change incurs no immediate charge and takes effect only at the end of the period already paid for, with the new cycle and its price applying from the following renewal.

Cancelling a subscription stops recurring billing but does not delete school or student data.

Price Revision

OSS Manager reserves the right to revise subscription prices, in particular in response to changes in operating costs, inflation, tax changes, or the introduction of new platform features. Any revision is subject to all of the following conditions:

  • Effective only from the next cycle: A revision never affects a subscription period already paid for. The new price applies solely from the first renewal following the date on which the revision takes effect.
  • 30 days' advance notice: The academy is notified by email, at the registered owner's address, at least 30 days before the first charge at the new price. The notice states the previous price, the new price, and the exact date from which it applies.
  • Right to cancel without penalty: An academy that does not wish to accept the new price may cancel at any time before the effective date, without penalty, keeping access to the platform and the previous price until the end of the period already paid for.
  • Acceptance by continued use: Maintaining the subscription beyond the effective date of the revision, without cancelling, constitutes acceptance of the new price.

Price revisions have no retroactive effect and generate no additional charge for earlier periods. Changing the published price for new subscriptions does not, in itself, revise the price of subscriptions already in force.

Platform Fee on Student Payments

When a school uses OSS Manager's integrated payment collection feature (powered by Stripe Connect), a platform fee of 1% is retained by OSS Manager on each student payment processed. This fee is in addition to Stripe's standard card processing fees. Schools should factor this cost when defining their student billing amounts. OSS Manager does not store raw card or banking data — all payment processing is handled exclusively by Stripe.

The management of student charges and payments — including obtaining any required consent, mandate, or debit authorization (such as a SEPA Direct Debit mandate) — is the sole responsibility of each school. OSS Manager provides the technical tool for integrated billing via Stripe but does not intervene in, verify, or guarantee the validity of authorizations obtained by the school from its students. Each school is responsible for ensuring this process complies with applicable law, and releases OSS Manager from any liability arising from compliance failures in this regard.

Acceptable Use

The platform is intended exclusively for legitimate martial arts academy management. The following are prohibited:

  • Using the platform for illegal, fraudulent, or abusive purposes.
  • Sharing account access with unauthorized third parties.
  • Reselling, sub-licensing, or white-labelling OSS Manager to third parties without a prior written agreement with OSS Manager.
  • Publishing offensive or fraudulent content, or content that violates third-party rights.

The user is entirely responsible for the information entered into the system.

Data Ownership and Processing

Schools are the data controllers for the student data they input into OSS Manager. OSS Manager acts as a data processor on behalf of schools for that data. Schools are responsible for obtaining any necessary consents from their students to collect and process personal data. OSS Manager does not sell or share student personal data with third parties, except as required by essential sub-processors (e.g., Stripe, AWS S3, Firebase) necessary for the platform's operation. Data Collection and Use

We collect the following data:

  • Account data: name, email, password.
  • Student data: name, image, belt, rank, phone, address, birth date, weight, attendance records, graduation history, and engagement data (XP, streaks, achievements).

This data is used for system operation and to provide technical support. We do not share personal data with third parties, except when necessary for essential services (such as payment processors or infrastructure providers). User Responsibilities

It is prohibited to:

  • Use the platform for illegal purposes.
  • Share access with unauthorized third parties.
  • Publish offensive or fraudulent content, or content that violates third-party rights.

The user is entirely responsible for the information entered into the system.

Limitations of Liability

The platform is provided "as is". OSS Manager is not responsible for:

  • Data loss caused by incorrect use or external failures.
  • Service interruptions caused by factors beyond its control.
  • Damages resulting from misuse of the system.

Intellectual Property

All content of the OSS Manager platform, including design, source code, and functionalities, is protected by intellectual property rights and cannot be copied, reproduced, or reused without authorization. Data entered by users (such as student information) remains their responsibility, but may be used by the platform in an anonymized form for service improvement purposes.

Changes to the Service and Terms

OSS Manager may modify, suspend, or terminate features at any time, with prior notice whenever possible. These Terms may also be updated. Continued use implies acceptance of the changes.

Cancellation and Account Termination

The school can cancel its subscription at any time. Cancellation stops recurring billing but does not delete school or student data. OSS Manager may suspend or terminate accounts that violate these Terms or fail to make required payments. Suspended schools lose access to the platform until the issue is resolved.

Applicable Law and Jurisdiction

This contract is governed by the laws of Portugal and the European Union. The Lisbon Court is elected as the competent forum to resolve any disputes arising from this contract, waiving any other, however privileged it may be.
